Train your AI to sound like you
Your AI front desk sounds better the more it knows. Here’s how to shape its voice and knowledge.
1. Add FAQ Entries
Go to Profile and scroll to FAQ. Add the questions customers ask most often with your preferred answers. Be specific — “Yes, we offer free 15-minute phone consultations for new clients” is better than “Yes.”
The fastest path: check your Profile page for AI suggestions. After a few conversations, tocc.contact recommends FAQ entries based on what customers are actually asking. Apply them with one click.
2. Set Your Tone
Go to Profile and choose a tone that fits your brand:
- Warm & Professional (default) — friendly but polished
- Casual & Friendly — relaxed, approachable
- Formal & Precise — buttoned-up, authoritative
- Enthusiastic & Energetic — upbeat, excited
3. Add Coaching Instructions
Coaching tells the AI HOW to behave, not WHAT to say. Go to Profile > Coaching and add instructions like:
- “Always mention our referral discount for existing customers”
- “Never quote exact prices — say ‘starting at’ and direct them to call”
- “If someone asks about rush orders, emphasize we need at least 48 hours”
- “Always ask for their phone number on first contact”
4. Add “do Not Say” Rules
If there are topics or phrases you want the AI to avoid, add them to the “Do Not Say” section. Example: “Don’t mention competitor names” or “Don’t discuss wholesale pricing.”
5. Review and Iterate
After a week of real conversations, check your AI suggestions again — the system learns from every interaction and surfaces new improvements. The best profiles are built over time, not all at once.
